Privacy policy

Last updated: 2 October 2026.

Data controller: CSI Coimbra. Contact: coimbra.csi@gmail.com.

What we collect

When you use the availability form: name, email, check-in and check-out dates, number of people, reason for stay and any message you write.

Why and on what basis

Only to reply to your request and, if you go ahead, to prepare your stay. The legal basis is your consent and steps taken at your request before a contract (GDPR art. 6(1)(a) and (b)).

Who processes data for us

The form is processed by our own small Google Apps Script program, which sends the message to us by email. Our email is hosted by Google (Gmail). To check that the email can receive messages, the site queries Google Public DNS with the email domain only (for example, gmail.com). No other services handle this data. The map (Google Maps) only loads if you click “Show map”.

Transfers outside the EU

Google may process this data in the United States. These transfers are covered by the EU-U.S. Data Privacy Framework, under which Google LLC is certified, and by the European Commission's standard contractual clauses (GDPR art. 45 and 46).

How long we keep it

We keep your request for as long as needed to reply and follow up, up to 2 years after our last contact. If you stay with us, we keep your stay data for the periods required by law (for example, tax rules).

Your rights

You can request access, correction, erasure, restriction or portability of your data, and object to its processing, by writing to the email above (GDPR art. 15 to 21). You can withdraw consent at any time, without affecting what was done before. You can also complain to the Portuguese data protection authority, CNPD (www.cnpd.pt).

Do you have to give us this data?

No. Sending the form is voluntary, but without your name, email and dates we cannot answer your request. You can also contact us directly by email or WhatsApp.

Automated decisions

We make no automated decisions and build no profiles with your data. Every request is read and answered by a person.

Cookies

This site uses no advertising or analytics cookies. Your light/dark theme choice is stored only in your browser.

Changes to this policy

We may update this policy. The version in force is always the one published on this page, with the date of the last update at the top. If a change affects how we use data you have already given us, we will tell you by email before applying it.
